As we collect health information, we also comply with the Health Records and Information Privacy Act 2002 (NSW) where relevant.

1) The information we collect

• Identity & contact: name, date of birth, gender (optional), email, phone, physical address, social media handle (optional).
• Health information (sensitive): relevant medical history, contraindications, treatment preferences/consents, practitioner notes.
• Bookings & usage: appointment details, services received, packages, forms, communications.
• Payments: processed via secure third-party providers (we don’t store full card data on our systems).
• Marketing preferences: email/SMS opt-in choices.
• Website & device: basic analytics (pages viewed, device/browser), cookies (see §10).
• We only collect health information with your express consent, unless an APP/HRIP exception applies (e.g., serious threat to health or safety).

2) How we collect it

• Directly from you (online bookings, intake forms, email/phone, in-studio).
• During your appointment (consultations and treatment notes).
• From a lawful guardian/representative where appropriate.

3) Why we collect and use your information

• Deliver, personalise and safely provide treatments.
• Manage bookings, reminders, receipts and accounts.
• Process payments and administer packages/memberships.
• Maintain records and meet legal/insurance obligations.
• Send wellness updates, offers and news (if opted in).
• Improve our operations, services and websites.

4) When we disclose information

• Service providers (e.g. booking/communications platforms, payment processors, IT support).
• Health practitioners involved in your care (with consent or as required by law).
• Insurers, advisors, regulators where legally required.
• We do not sell your information.
• If a service provider stores data outside Australia, we take reasonable steps to ensure APP-equivalent protections apply.

5) Your choices

• Interact anonymously or using a pseudonym for general enquiries where practicable (not where safe identification is required).
• Opt out of marketing at any time.
• Withdraw photo/media consent at any time (see §9).

6) Access and correction

• You may request access to your personal information or ask for corrections if it’s inaccurate, out of date, or incomplete.
• We’ll respond within a reasonable timeframe and may need to confirm your identity.

7) Security and retention

• We take reasonable steps to secure information (role-based access, secure platforms, staff training).
• We retain records only as long as required for our services and legal obligations, then securely destroy or de-identify them.

8) Health information

• As °CRYO collects health information, the NSW Health Privacy Principles (and equivalent state laws where applicable) may also apply, giving you additional rights over access, amendment, and complaint processes.

9) Photos and social media

• We may create promotional or educational content in-studio.
• We will only use your image/video if you have consented.
• You can withdraw consent anytime by notifying your local °CRYO studio.

10) Website, cookies and analytics

• Our websites and booking pages may use cookies/analytics to improve performance.
• You can disable cookies in your browser, though some features may not function properly.

11) Changes to this policy

• We may update this policy from time to time.
• The latest version will always appear on our website, effective from the date listed at the top.
